Navigating the OpNote Dashboardback to top

• Top Banner Links: found at the top of the page.
• Home: View the schedule, launch new reports for procedures or review previously created reports that need attention (amendments/signatures).
• Schedule: Isolated list of all upcoming procedures that have been entered into OpNote - either manually created or fed from your scheduling system.
• To Do: Isolated list of completed procedures that require reports. Once the date of the surgery arrives, the appointment is automatically moved from "Schedule" to "To Do."
• Attention: Isolated list of reports that require attention from the user. This could mean signing out on the initial report or signing off on an amendment.
• Defaults: Manage, review, modify and create default reports for your most common procedures. For more information on Defaults, please visit the "default section" of this help text.
• Log Out: End your OpNote session.
• Help: Instructions, tips and tricks, FAQ to enhance your OpNote experience.

Creating a New Reportback to top

• There are 2 ways to start a new report - you can either Launch a New Report from a Scheduled Appointment or you can Create a New Operative Report without using any information in your scheduling system/EHR.
1. Scheduled Appointment:Scheduled reports are entered by an assistant or pulled from the scheduling system. They will already be on your dashboard when you log in. To create a report for a scheduled appointment, click on "New Report" on the appointment. Patient, procedure date and staff information - as well as any procedures and diagnoses - will carry over from the appointment. After clicking the "New Report" button, you will have two choices for the type of new report:

• Default Report - OpNote automatically finds the default report you created with procedures close to the scheduled surgery, or you can click on the drop down arrow and select the default you want to use.

• Blank Report - Select this if you don't have a default for the procedure or if you don't want to use one in creating your report. All of the fields/sections of the report will be blank.

If satisfied with the scheduled procedure, skip ahead to Edit Note.

2. New Operative Report:Found at the bottom of the "To-Do" column, "New Operative Report" button generates a report but requires users to enter in all of the information for the appointment manually. You will need to enter in the MRN (and possibly the patient's information), as well as the date, staff and procedure information. After clicking the "New Operative Report" button, you will have two choices for the type of new report:

• Default Report - Click on the drop down arrow and select the default you want to use.
• Blank Report - If you don't have a default for the procedure or if you don't want to use one in creating your report, then use this option. Please note: all of the fields/sections of the report will be blank.

Finding a patientback to top

• NOTE: The following only applies if not using scheduled appointments,

• Enter the patient MRN and click the Find button or press "Enter."



• Confirm patient identification and click the Go button OR...
• ...If you are an individual user that isn't integrated with your facility's patient registry or if the MRN isn't in OpNote, then manually enter in the patient's information including name, DOB, etc.

• NOTE: This step isn't needed for most OpNote users. In most cases, patients will be preloaded in the appointments. To learn more about integration capabilities and getting the most of your OpNote experience then contact us today!

Choosing the Date & Staffback to top



The Date & Staff page is where you make any changes you need to about date of surgery or who worked on the procedure (Surgeon, Assistants, Anesthesiologists).
• Date



• If the report is based on an appointment, the date of surgery will reflect the date in the appointment.
• If the report isn't based on an appointment, the date of surgery will default to today's date.
• If date of surgery is different than what is currently entered in the field, type in the correct date or use the popup calendar.



Staff
• Surgeon
• "Surgeon" is defaulted to the current surgeon logged into OpNote and creating the report (i.e., you). You can change this if you are not the surgeon for this case.
• Note: The Surgeon for the procedure is the only person that can sign out the operative report for that procedure. Other surgeons, assistants can prepare the reports, but only the surgeon can sign it out.
• Assistant
• Choose assistants from the pre-populated dropdown list. If there is no assistant, then skip this and the field will not show up in the final report.


• Anesthesiologist
• Select the correct anesthesiologist from the list. If the particular anesthesiologist isn't listed, you can manually add his/her name by selecting the link.


Choose Continue button on bottom right of screen.

Choosing Operation(s) Performedback to top

There are multiple ways to find and select the procedures you performed. In all of these methods:


• Select the procedure you performed on the left hand side of the screen and it will appear on the right hand side of the screen (with the formal CPT code and description automatically chosen with your procedure).
• If you have multiple procedures, they can be reordered to your preference.
• If you wish to remove any procedures, select the red X and it will be deleted



• Category & Drill Down Menus:
1. Choose system (example: Biliary Tract, Breast)
2. Choose type of procedure (example: Laparoscopic surgical cholecystectomy, Lumpectomy)
3. After selection, the correct CPT code and description are listed on right side of screen.
4. For additional procedures, select the Back button on top of list of procedures or click Start to return to the top level.
5. Choose Continue button at lower right side of screen.


• Codes & A-Z:



1. If you are familiar with CPT codes, you can find the procedure you performed in Codes, a numerically ordered listing of procedures.



2. Simliarly, A-Z is a listing of procedures that are in alphabetical order by CPT description.
3. After selection, the correct CPT code and description are listed on right side of screen.
4. Choose Continue button at lower right side of screen.
• Search:



1. The search box on the procedure chooser screen allows users to find their procedures by typing in the title or CPT of that procedure.



2. Searches are initially limited to just your specialty, but if the procedure falls outside of your specialty select "perform this search on all possible choices."



3. The correct CPT code and description are listed on right side of screen.
4. Choose Continue button at lower right side of screen.

Choosing Diagnosesback to top


• Note: These instructions are for ICD-9-CM users (OpNote users in the US). If you are using ICD-10-CA (OpNote users in Canada), then you will have to type/search for diagnoses.
• Using Ingenix's crosswalk between CPT and ICD, only appropriate (or likely) diagnoses are initially presented.
• On the left hand side of the screen, choose proper diagnoses (through same processes as selecting Operations Performed - Categories, Codes, A-Z and Search)
• There are multiple ways to find and select the diagnoses for the procedure you performed. In all of these methods:
• Select the diagnoses on the left hand side of the screen and it will appear on the right hand side of the screen (with the formal ICD code and description automatically adjoining it).
• If you have multiple diagnoses, they can be reordered to your preference.
• If you wish to remove any diagnoses, select the red X and it will be deleted
• Category & Drill Down Menus:



1. Choose type of diagnosis (example: Neoplasm, Injury, Disease of Digestive System)
2. Proceed in this manner until you find the exact match you are looking for. (example: Start > Diseases Of The Digestive System > Other Diseases Of Digestive System > Cholelithiasis > Calculus of Gallbladder > With acute cholecystitis , etc.)
3. After selection, the correct ICD code and description are listed on right side of screen.
4. For additional diagnoses, select the Back button on top of list of procedures or click Start to return to the top level.
• Codes & A-Z:



1. If you are familiar with ICD codes, you can find diagnoses in Codes, a numerically ordered listing of diagnoses.
• Also, as they are codes from a crosswalk with the procedure chosen, there are only a limited number under this tab and may be easier to read at once.

2. Simliarly, A-Z is a listing of diagnoses that are in alphabetical order by ICD description.
3. After selection, the correct ICD code and description are listed on right side of screen.
• Search:

1. The search box on the diagnosis chooser screen allows users to find diagnoses by typing them into the search box.
2. Searches are initially limited to just the crosswalked ICD codes.



3. No crosswalk is ever 100%. If you have a unique case or you can't find the particular diagnosis you are seeking then you are not restricted to only using the crosswalked diagnoses.
4. Type in the diagnosis/ICD code in the search box; but if the diagnosis falls outside of the crosswalk selections, then choose "perform this search on all possible choices."



5. The correct ICD code and description are listed on right side of screen.



• When you are satisfied with your pre-operative diagnosis, select either Continue: enter different PostOp Dx or Continue: make PostOp Dx same if the postoperative diagnosis is different from the pre-operative diagnosis or the same as the pre-operative diagnosis, respectively.
• If you choose Continue: enter different PostOp Dx then you will select another diagnosis using the same methods.
• If you choose Continue: make PostOp Dx same then you will continue on to Edit Note.

Editing the Operative Reportback to top




• The "Edit Note" page is divided into two distinct columns. By clicking on Edit in any section of the Left hand column, you launch the Right column
• Right Hand side of the screen are all the possible choices for content in that section. This may include number pads, free text spaces and/or lists of multiple 'answers' as the section necessitates.
• Left Hand side of the screen is the final content that will show up in your report after you have selected them. Entries clicked in the right column show up in the left column.
• Click on Edit next to the section where you would like to add/change information and mark choices on the right side of screen.
• After finding the selection in the right hand column that suits your needs, click it and it will be highlighted and added to the report (as seen on the left).



• You can remove answers by clicking on the selection a second time, it will be deselected and deleted from your report.



• Answers are inserted in the report in the order they are listed - not the order selected.
• Any list item on the left with a green up/down arrow next to it can be moved to any location within that list. Click and drag the item on the left and place it where you want it to appear.



• There are some sections in the report where answers can also be manually inserted in free text boxes.
• Free text entry spaces are marked by the + symbol. By selecting that symbol, a text box will appear followed by "Popular Answers."



• Popular Answers are the 20 most common user entered items in that section for that procedure (and related procedures).
• You can either select one of the Popular Answers or you can type in your own. Pressing the enter key will insert your answer into the report.
• To manually enter operative description text in the middle of the list, choose the + symbol above where you would like the new answer to be shown.
• You can also enter in your responses to the text box at the end of the list and then move the item using the up/down green arrows on the left side.



• A comment section at the end is for any information that the surgeon feels is not covered by the existing report sections.
• After your operative report has been completed choose Continue button on lower right side of the screen.



• If you haven't filled out any of the required fields, a large prompt will appear at the top of the report and won't let you sign out until you enter something for that field. The incomplete fields will be marked by red text.



• After your operative report has been completed choose Continue button on lower right side of the screen.

Sign Out Pageback to top




• Sign Out is where you review the report in its entirety and, if needed, can go back to edit page to make corrections.
• When you select the Sign Out button, you'll finalize the report and electronically sign it out. The report is now signed out with a date and time stamp and is ready to be reviewed for coding and billing or accessed for any further medical needs.



• You can Download PDF to save the report as a PDF.



• If you want to save your completed report - either as a new default report or an updated version of a default that has already been saved - then select Save this report as a new default report and name it how you would like it to appear.
• Default reports should cover most common procedures to save you time and effort in future creation of operative reports.



• You can also Select the appropriate Driver for printing, faxing, or virtual print-to-EMR functionality. In order to align these three buttons with the appropriate actions, you will need to set up the drivers accordingly.

Making Amendmentsback to top

• If you need to make a change to any part of your report - or if you need to add any other information - OpNote's Amendments feature will help you.
1. Locate the report you want to amend in your Signed Out reports screen. Select View and you'll be taken to the signed out report.



2. The report is signed out. But if you want to add anything, click on Create an Amendment (on the right).
• OpNote takes a few seconds to copy over all of the previous responses before generating a copy of the report for you to amend. This is done in accordance with various standards and legal requirements.
3. Make your changes (adding, removing responses, etc.) and then sign out the amendment. You can see the listing of the signatures at the bottom, noting when the report and its subsequent amendments were signed.



4. If you wish to compare the different versions of your reports, click on View History and then select which versions of the report you want to compare.



5. The additions and deletions will be noted through the different colored text as shown below.

• When working on a postoperative report in OpNote, you will see links at the top of the page to help you navigate between sections.
• For example, if you are working on the Edit Note page and want to go back to the procedure chooser you can select Procedures located in the blue banner and if you want to go back to edit the report click "Edit Note" to return.

Creating Default Reportsback to Tips & Tricksback to top

• Defaulted reports are a great way to save time. By entering in the usual answers for your most common procedures, you can quickly review your report and sign out faster than dictation.
• If you previously used templates in dictation, you can now transfer the template into OpNote through default reports.
• It's important to note that default reports are not rigidly confined to the selections you chose when creating them; OpNote allows for users to make changes, entering in unique answers depending on the particular specifics of individual surgeries.
• The changes are easier to make in OpNote than dictation, as you can see how the final report will look instead of waiting for the transcription to see the revisions you made.
• There are two ways to create default reports:

1. Using a Pre-Existing Postoperative Reportback to Tips & Tricksback to top

• This is the most common way to generate a default report. After filling out all of the sections and fields in your operative report, you select Sign Out and on that page you will see the option to Save This Report as a New Default Report (the bottom purple box on that right hand side). Click on that option and enter in the title of your new default report (example - Lap Chole, Lap Chole w Veress, Lap Chole w Hassan, etc.).
• Going forward, that report will be available as a default report that you can launch from your dashboard page.




2. Using Manage Defaultsback to Tips & Tricksback to top




• The Manage Defaults page is where you can access your default reports for the purposes of editing, deleting or creating new default reports.
• Manage Defaults can be accessed from your dashboard by selecting it on the top of your screen, labeled Defaults..



• On that page, you will see the option to Create New Default Note. Select that option, type in the name of your new default report and then go through the usual steps of selecting procedure(s), diagnoses and completing all of the fields on the Edit Note page.
• On the Sign Out page, you will notice that there are different options than normal. On the bottom right corner of the screen is the option to Save and Exit - click on that button and you will be brought back to your dashboard, and your new default report is now available to be launched for future cases.
• In the future, should you need to make any changes to your defaults, you can go to Manage Defaults and make those changes, such as:
• Edit: Go in and change the most common responses in the various sections of your default report.
• Duplicate: Copy a default report over so that you can make one or two changes as an option. For example, you handle 1 procedure the exact same way except that half the time you use Incision X and the other time you use Incision Y, while everything else in the reports are the same.



• Rename: Re-label your default report so it's easier for you to recall what the report contains.



• Delete: If the default is no longer used, wanted or needed - you can delete it. Please Note: This action cannot be undone; once deleted, a default report cannot be brought back.

Using & Adding Popular Answersback to Tips & Tricksback to top

• In the Edit Note section of your report, there are sections where you can use a text box to add your own answer. Popular answers will automatically be listed below the text box.



• These are responses that have been previously entered by you or by other OpNote users.
• If a popular answer is not sufficient, then add the answer you would like to have in the report in the text box provided. The new answer will be saved in the popular answers choices and available for later usage.
• Popular answers are the 10-20 most common write-in answers generated by OpNote users for that procedure and related procedures (determined by CPT).
• As answers are used more frequently, they move up the list; conversely, if answers are not used that often, they will fall down the list, or off of it completely.

Batch Printing/Downloading Reportsback to Tips & Tricksback to top

• Please Note: if you have a filter on for that day (by surgeon), then you will only download/print that surgeon's reports for that day. To read about both, scroll down; to jump directly to Batch Downloading, click here.

Batch Printing

• Batch Printing allows appropriate personnel to easily print out all of the operative reports created that day with one button. Your reports remain in electronic format in our system and can be integrated with the EHR/database that you use. BUT, for those that need to file or fax hard copies, this allows for one quick and easy step to generate paper versions of reports created with OpNote.
• To use this feature:
1. In your browser - Log In to OpNote:




2. From your dashboard - Go to Signed Out page, where you can find all signed out reports. Do this by clicking "Signed Out" in the top banner:




3. On Signed Out Page - Next to the date there's a link that reads "Print All" - click on that.




• One large PDF document with all of the days' reports is generated. Print out that PDF document (containing multiple reports) and you can now begin faxing/filing as need be for all of the reports.

Batch Downloading

• OpNote creates electronic reports that we can send back into your EMR via HL7 or other messages. But, for those facilities that need to electronically upload the reports in a different style, we present "Batch Downloading."
• Batch Downloading saves all of the days' reports into a zipped folder on your computer (or where ever you choose). Unzip the folder (by double-clicking or using WinZip, depending on your computer), and then you can move the reports around as you see fit.
• NOTE: The files for the reports are titled SurgeonLastName_OrderofCompletion. So if you download 5 of Dr. Smith's reports, you have Smith_1, Smith_2, etc.
• To use this feature:
1. In your browser - Log In to OpNote:




2. From your dashboard - Go to Signed Out page, where you can find all signed out reports. Do this by clicking "Signed Out" in the top banner:




3. On Signed Out Page - Next to the date there's a link that reads "Download All" - click on that.




• A zipped folder will be saved with all of the days' reports where ever you choose. Unzip the folder (containing multiple reports in individual files) and you can now begin saving the reports in your records as need be.

OpNote allows users to create default reports for their most common procedures and fill out the sections with the usual, appropriate responses. Users can then go in and make quick changes to reflect the unique aspects of each surgery and sign out in less time than it takes to dictate and transcribe the report.

Can Non-Surgeons Initiate Amendments?back to Videosback to top

Yes - coders, billers and administrators can initiated an amendment on the report. It is still up to the surgeon to approve and sign out the amended report, but approved Surgery Center personnel can start the process.

Users Can Supersede Scheduled Codes/Procedureback to Videosback to top

Physicians can easily change the codes until it is to their satisfaction. mTuitive works with surgeons and coders to ensure that their defaults are coded appropriately and the selections by the user (the physician) supersedes any put in by the scheduling system. Also the synoptic format of OpNote reports allows for easier coding process, as each aspect of the procedure is identifiable and not lost amongst any unnecessary text.

How do I create a new patient?back to FAQback to top

• If your searches on the Find Patient screen have been unsuccessful, and you verified that the patient is not in OpNote's database, then you can create a new patient. Enter in the information about the patient - Name, Age, Patient ID#, etc. After all information is entered, select "Create" and begin the reporting process.

What if I chose the wrong patient?back to FAQback to top

• If you've chosen the wrong patient, then you will have to delete your report and start anew. mTuitive tries to avoid this issue by verifying patient information on the "Find Patient" screen.

Can I add a new surgeon or assistant?back to FAQback to top

• Only System Administrators are allowed to create new Surgeons and/or Assistants. mTuitive coordinates with System Administrators on a regular basis to assure that appropriate staff are included in the OpNote system.

Why was I timed out? What do I do next?back to FAQback to top

• Time out is one of the features of OpNote that was included for the security of surgeon and patient information. OpNote will automatically sign you out if the report is idle for a prolonged period of time (usually set at 15 minutes). You can resume using OpNote by signing in again with your username and password, at which point you'll be redirected to wherever you left off when you were signed out.

What is the "Save and Exit" button for?back to FAQback to top

• The Save and Exit button, located at the bottom right of the screen while working on your report, will save the report and all the data you've entered in thus far in order to finish it at a later time. The saved report can be found in the Attention Required column on your Dashboard page. You can open it from there, complete the report and sign it out. Saving a report does not make it a default report, although it can be saved as a default when completed.

• The green up and down arrows allow you to relocate the item either up or down in a list in a given section. Click and drag each answer until you achieve the order you want to appear in your final report.

Can I choose procedures from another specialty?back to FAQback to top

• Users are given screens that are tied to their specialty to ensure that reporting is even more efficient and that physicians won't have to see any irrelevant options. However, sometimes the procedure you performed falls outside of the purview of your specialty. In order to select the procedure, the user must go to the "Procedures" screen and type in the procedure (either by name or CPT code) in the search box. Searches are initially limited to just your specialty, but if the procedure falls outside of the specialty select "perform this search on all possible choices."

Can I choose more than one procedure?back to FAQback to top

• Yes. Once you select a procedure, the CPT description and code will be shown on the right side of the screen. If the you would like to choose another procedure, simply navigate through the chooser and find the desired procedure. You can add as many additional procedures that are needed using the same process.

Can I reorder my procedures?back to FAQback to top

• Yes. Procedures can be arranged in the order you would like them to appear in the final report. After choosing a procedure, on the right hand side of the screen, you will notice a green up and down arrow next to the selected CPT code and description. Click and drag the procedure in the order you would like it to appear in the final report. Procedures can be rearranged any time before sign out, simply choose the "Procedures" link in the top banner of the page to go back and reorder.

Can I choose more than one diagnosis?back to FAQback to top

• Yes. Once you can select a diagnosis, the ICD description and code will be shown on the right side of the screen. If you want to choose another diagnosis, navigate through the diagnosis chooser and add as many additional diagnoses that are needed using the same process.

Can I reorder my diagnoses?back to FAQback to top

• Yes. Diagnoses can be arranged in the order you would like them to appear in the final report. After choosing a diagnosis (either preoperative or postoperative), on the right hand side of the screen, you will notice a green up and down arrow next to the selected ICD code and description. Click and drag the diagnoses in the order you would like it to be seen in your final report. Diagnoses can be rearranged any time before sign out, simply choose the "PreOp Dx" or "PostOp Link" link in the top banner of the page to go back and reorder.

How do I delete procedures or diagnoses that I didn't mean to choose?/What do the red X's mean?back to FAQback to top

• If you a procedure or diagnosis has been chosen in error, then the red X on the right side of the CPT/ICD description lets you delete it from your report.

What do the + signs mean on the Edit Report page?back to FAQback to top

• To add new answers to a section in the Edit Report page, click the blue "Edit" link next to that section. You can add an answer in the text box that appears or choose an answer that has previously been created under the "Popular Answers" heading the opens under the text box. To insert an answer in the operative description, you can:
1. Type an answer in the text box provided at the bottom of the listed answers and then drag the item using the green arrows on the left side of the screen to relocate it within the list
2. Click on the + sign found to the right of each listed answer and type in your answer there, and it will show up in the corresponding location on the left side of the screen.
3. Choose from one of the popular answers that drop down in the order of answer performed or click and drag it on the left side to put it in its appropriate place

Can I reorder the responses in each field of the report?back to FAQback to top

• Occasionally sections will not be in the order in which you need them to appear in your final report. OpNote has provided a solution to correct that in most of the edit sections. If the items in the list have green up and down arrows next to them on the left side, then they can be reordered. Select the list item you would like to move within that section, then click and drag into the correct order you prefer. If there are no green arrows, then the item cannot be moved.

Where do I enter my findings/descriptions/etc. for multiple procedures?back to FAQback to top

• When you have chosen multiple procedures, some sections are not delineated by procedure in the report. In these sections (Findings, Indications), mTuitive suggests you place your responses in the same order as procedures performed by using the green arrows. Operative descriptions are already separated according to the ordering of chosen procedures. Make sure to put responses for each procedure in the correct/corresponding operative description section.

Do I have to enter a response for each section?back to FAQback to top

• Yes and No. When completing a report all fields are required (except for the Operative Objective and Comments sections). In most sections, where appropriate, mTuitive has included a free text and/or "N/A" option. The only time sections aren't required is creating a default. Note: When converting a regular postoperative report into a default report, sections will be required. But when creating a new default report for a procedure, via the "Manage Defaults" page, completed fields are not required.

If I don't sign the report out immediately, can I go back to Sign Out later?back to FAQback to top

• Yes. If you have started a report and need to finish at a later time choose Save and Exit located on the lower right side of the screen. Your report will be saved and can be opened on the OpNote Dashboard page. Once a report is signed out, it cannot be edited.

Can I edit my report after I've signed it out?back to FAQback to top

• You can make changes or additions to signed out reports using the Amendments feature. A complete audit trail tracking what changes were made, by who and when is saved in the background by mTuitive. For more on the Amendment process, please go here.

Manage Defaults - How do I edit and delete defaulted reports?back to FAQback to top

• If you would like to manage your defaults choose "Manage Defaults" in the banner section at the top of your dashboard page. On this page you can open a default report and make the necessary changes or completely delete the default report from your dashboard.



• For more information on how to use Manage Defaults please go to Using "Manage Defaults" section of help text.
• Please note: Editing or deleting a report cannot be undone.

• Yes, reports made in OpNote can be sent into your EMR. There are three possible ways for this to occur:
1. Existing Workflow: Using the One of the 3 Print To buttons found on the Sign Out screen, surgeons and their staff can send the document into the EMR. Please contact us to discuss ways of setting up the correct drivers and ensuring that the reports are being sent to the right place in your system.



2. Custom Interface: mTuitive has had a lot of experience building interfaces and managing integrations with various health facilities. Working with your vendor and within your system we can create a direct feed. Additional costs may be incurred depending on the needs of the integration. Please contact us for more information about this process.
3. SourcePlus Interface: mTuitive and SourceMedical have a partnership to bring the best service to the many facilities across the nation. One aspect of the partnership is the ability to send OpNote reports back in to the SourceMedical EHR. What happens if my network connection goes down in the middle of creating a report?back to FAQback to top

• Luckily, none of the information you have entered before the network went down will be lost. OpNote constantly saves your progress - so that all of your information you entered in previous to losing the connection remains in the report and will available for you (under the "Attention Required" column) to complete when you re-establish a network connection.

1. Signed Out Reports: If you are looking for a report that was signed out, go to "Signed Out" on the top of your dashboard. This brings you to all of the reports you've signed out. You can filter the view by Month/Year of appointment, adding appointments to the view by clicking "show more" on the bottom of the screen.
2. Unsigned Out Reports: If you are looking for a report that was started but not signed out yet, then select "Attention" button on the top of your dashboard. This brings you to all of the reports that require attention (either needs a signature, review of coder's query or some action to an amendment). You can filter the view by Month/Year of appointment, adding appointments to the view by clicking "show more" on the bottom of the screen.

• The next 10-15 appointments will appear on your dashboard under the "Scheduled Procedures" column. If you are looking beyond those, click on "Schedule" button on the top of your dashboard. This brings you to all of the appointments that are currently scheduled. You can filter the view by Month/Year of appointment, adding appointments to the view by clicking "show more" on the bottom of the screen.

• An appointment moves from "Scheduled" to "To Do" based purely on date and time. Once the time of the scheduled procedure has passed, it is moved into the To Do column and ready for you to create a report.

How do I delete an appointment?back to FAQback to top

• To delete or cancel an appointment before it occurs, simply click the red "Cancel" link on that appointment. A prompt will appear confirming your wish to cancel that appointment. By clicking OK, your appointment is now canceled.



• Please Note: If you receive your appointments from a scheduler feed or some other system integration, then that appointment will continue to appear every time the system updates until it is canceled within that system/scheduler/etc.

• Important Note: This Only Pertains to Reports that Have Not been Signed Out. You cannot delete a report once it has been signed out.
• If Appointment is in To Do Column: Simply click the red "Cancel" link on that appointment. A prompt will appear asking you to confirm that you want to delete this appointment/report from your dashboard. By clicking OK, you are deleting that appointment/report and removing it.



• If Unsigned Report is in Attention Required Column: Click on red "Delete" link on that report (on the bottom). A prompt will appear asking you if you want to delete that report. By clicking OK, you are agreeing to delete the report and any work you may have done on it. That report will show up as a "To-Do" report column (hit refresh to make it appear there), then just hit Cancel and it will be removed completely.

• OpNote does have the capabilities of adding images to your report. However, each imaging system (and system of storing/cataloguing images in EHRs, etc.) is unique and depends on the type of scope used and image files created. If this is something that interests you, please contact us and we'll work with you on identifying your needs and the appropriate workflow to integrate images into your operative reports.

Can I make changes to a signed out report for another surgeon?back to FAQback to top

• Only those users with Admininstration capabilities are able to make changes (via creating amendments) to reports signed out by a surgeon. However, even then, only the surgeon that originally signed out the report is able to sign off on any changes made to the report. So if the surgeon asks you to make changes for him/her, you can do that, but he/she will still have to review and sign out on that report. After you make your changes, and select "Save and Exit", the augmented report will immediately show up in that surgeon's Attention Required column.

• Simply click the red "Cancel" link on that appointment. A prompt will appear asking you to confirm that you want to delete this appointment/report from your dashboard. By clicking OK, you are deleting that appointment/report and removing it.



• Please Note: If you receive your appointments from a scheduler feed or some other system integration, then that appointment will continue to appear every time the system updates until it is canceled within that system/scheduler/etc. Contact the person in charge of scheduling appointments to ensure it is canceled in that system as well.

What if I chose the wrong default when creating my report?back to FAQback to top

• If you accidentally selected the wrong default for a report, hit Save and Exit on the bottom of your screen. This will bring you back to your Dashboard.
• Locate the report with the incorrect default in the Attention Required column. Click on red "Delete" link on that report (on the bottom). A prompt will appear confirming that you want to delete that report. By clicking OK, you are agreeing to delete the report and any work you may have done on it.
• Hit refresh on your browser. The appointment will now show up in your To Do column. Click New Report and select the correct default you wish to use.

Do I have to print the reports one at a time?back to FAQback to top

• No, you can print out all reports on a given day using "Batch Printing." Or you can download them all as individual files using "Batch Downloading."
• Please Note: if you have a filter on for that day (by surgeon), then you will only download/print that surgeon's reports for that day. To read about both, scroll down; to jump directly to Batch Downloading, click here.
• Batch Printing
• Batch Printing allows appropriate personnel to easily print out all of the operative reports created that day with one button. Your reports remain in electronic format in our system and can be integrated with the EHR/database that you use. BUT, for those that need to file or fax hard copies, this allows for one quick and easy step to generate paper versions of reports created with OpNote.
• To use this feature:
1. In your browser - Log In to OpNote:




2. From your dashboard - Go to Signed Out page, where you can find all signed out reports. Do this by clicking "Signed Out" in the top banner:




3. On Signed Out Page - Next to the date there's a link that reads "Print All" - click on that.




• One large PDF document with all of the days' reports is generated. Print out that PDF document (containing multiple reports) and you can now begin faxing/filing as need be for all of the reports.
• Batch Downloading
• OpNote creates electronic reports that we can send back into your EMR via HL7 or other messages. But, for those facilities that need to electronically upload the reports in a different style, we present "Batch Downloading."
• Batch Downloading saves all of the days' reports into a zipped folder on your computer (or where ever you choose). Unzip the folder (by double-clicking or using WinZip, depending on your computer), and then you can move the reports around as you see fit.
• NOTE: The files for the reports are titled SurgeonLastName_OrderofCompletion. So if you download 5 of Dr. Smith's reports, you have Smith_1, Smith_2, etc.
• To use this feature:
